1. Booking & Payment Schedule
- Advance Booking
- For domestic tours booked 30 days or more in
advance, a 25% deposit is required at the time of booking. The
remaining balance must be paid 30 days before the trip’s
start date.
- For international tours, the full balance is due 50
days prior.
- Last-Minute Bookings
- Bookings made within 30 days of departure
require 100% payment upfront, mirroring Ved Mantra Holidays.
2. Participant-Initiated Cancellations
All cancellations must be submitted in writing (email or letter),
clearly stating traveler names, booking reference, tour code, and reason:
- Domestic Tours
- 61+ days before departure: Full
refund (excluding any non-refundable booking fees).
- 45–60 days: 50% of
the tour cost is forfeited.
- 30–44 days: 70% of
the tour cost is forfeited.
- Less than 30 days: No refund;
100% of the cost is forfeited.
- International Tours
- 61+ days: Full refund (excluding
non-refundable elements).
- 45–60 days: 50%
forfeiture.
- 30–44 days: 70%
forfeiture.
- <30 days: 100%
forfeiture—no refund.
These apply unless specifically stated otherwise in a customized
itinerary.
3. Non-Refundable Components
- Costs such as airline tickets, visa fees, or partial
bookings that are non-refundable by suppliers cannot be reimbursed,
even if Ved Mantra Holidays assumes responsibility.
4. Agency-Initiated Changes or
Cancellations
- If Ved Mantra cancels a trip (due to low participation, safety
concerns, or unforeseen circumstances), travelers receive:
Option A: Full refund
of all payments received, excluding third-party non-refundable fees.
Option B: Voucher valid for one year for future travel with Ved
Mantra Holidays.
5. Cancellation Due to Force Majeure
- In cases like natural disasters, government restrictions,
or public health emergencies, Ved Mantra offers:
- Voucher-based refunds, post deduction of
non-refundable costs, or
- Cash refunds if feasible, based on the remaining
balance. All alternatives will be clearly communicated at the earliest.
6. Refund Processing Timeline
- Refunds (excluding vouchers) are processed within 10 working days
after cancellation confirmation and will be credited to the original
payment method.
- Vouchers are typically issued within 7 working days of
cancellation confirmation.
7. No Refunds After Journey
Commencement
- Once a journey has begun, no refund or voucher will be issued
for unused portions, unless explicitly provided in the booking terms.
8. Refund of Interest
- Ved Mantra Holidays does not pay interest on refunds.
9. How to Cancel
- Cancel via email to our official cancellations address.
Cancellations by phone, chat, or SMS are not valid
- Your cancellation will be considered effective only on the next
working day if received on a weekend or public holiday.
10. Dispute Resolution
- Any disputes will be addressed under the jurisdiction of [Home
City, State]. Ved Mantra reserves the right to update this policy at
any time.
11. Special Cases: Visa Issues
- In case of visa rejection, Ved Mantra will assist in reclaiming
refundable components after deducting third-party non-refundable charges.
However, full refunds cannot be guaranteed. Travelers are advised to apply
for visas in collaboration with Ved Mantra to minimize risk.
